Three focused engagements
for healthcare administrators
Each service is designed to deliver a clear outcome at a defined scope. You can start with the review, progress to the pilot, and sustain good practice through the stewardship arrangement — or engage any one of them independently.
Back to HomeHow we introduce AI to your administrative team
Each of our three engagements addresses a different stage of responsible AI adoption in healthcare administration. They are designed to be followed in sequence, though each can also stand alone depending on where your facility is in its journey.
The common thread across all three is the principle that AI assists administrative work — it does not replace the judgement of the people doing it. Every workflow we configure includes a clear human review checkpoint before anything reaches an external recipient.
For facilities new to AI tools, we recommend starting with the Admin Process Review. It gives you a factual picture of your current workflows and a grounded assessment of where AI assistance would actually be useful — rather than a sales pitch for the widest possible deployment.
Study your workflows
Four weeks of observation and documentation before any AI is introduced.
Introduce in a supervised pilot
Six weeks of structured use with weekly check-ins and near-miss logging.
Sustain through stewardship
Quarterly audits, regulatory alignment checks, and governance reporting.
Admin Process Review
A four-week study of your clinic or hospital's administrative workflows — appointment scheduling, claims preparation, referral letters, and front-desk coordination. We arrange a kick-off session with your admin lead, then spend one regular operating week observing how work actually flows through your facility.
The engagement concludes with a written brief covering the areas where AI drafting and summarisation could carefully reduce paperwork, alongside a PDPA-aware data inventory that maps the personal data fields any future AI system would access.
Included in this engagement
- One week of on-site observation (or remote session for smaller clinics)
- Kick-off and debrief sessions with your admin lead
- Written brief on AI assistance opportunities and boundaries
- PDPA-aware data inventory of administrative fields
- Recommendation on whether a pilot would be worthwhile
Process steps
- 1Kick-off call with clinic or hospital admin lead to agree observation scope
- 2One week on-site observation of scheduling, claims, and referral letter preparation
- 3Data mapping session to identify personal data fields involved in each workflow
- 4Drafting of written brief and PDPA inventory (approximately one week)
- 5Debrief session to walk through findings and answer questions
Process steps
- 1Scoping session to confirm which administrative tasks and data fields are in scope
- 2AI system configuration to match your letter and claims formats
- 3Administrative team training on review process and near-miss logging
- 4Six-week supervised period with weekly check-ins
- 5End-of-pilot written summary with configuration recommendations
Letters & Claims Drafting Pilot
A measured six-week pilot where an AI assist drafts referral letters, claim summaries, and patient communications for your administrative team to review and approve. The system reads only the structured administrative fields you have agreed to include — appointment dates, claim codes, diagnosis references — and never accesses free-text clinical notes without explicit, separate configuration.
We train your administrative team on the review process before the pilot begins, and we are available throughout the six weeks to adjust the configuration and answer questions. The pilot concludes with written templates aligned to MOH and BNM-IT standards, and a summary document for your records.
Included in this engagement
- AI system configured to your specific letter and claims formats
- Administrative team training sessions
- Weekly check-ins throughout the six-week period
- Written templates aligned to MOH and BNM-IT standards
- End-of-pilot summary and configuration documentation
Quarterly Administrative Stewardship
An ongoing advisory relationship for clinic managers and hospital administrators whose teams are already using AI assists. Each quarter, we review how the system has been used, look at any cases where drafts required significant correction, and prepare a brief for your governance committee.
The Stewardship service also provides alignment checks whenever regulatory guidance changes — MMC circulars, PDPA updates, BNM e-Privatisation guidance — and produces a yearly written summary suitable for board reporting. It is designed for facilities that want ongoing accountability and documentation, not just a one-time implementation.
Included each quarter
- Quarterly audit of AI assist usage and near-miss cases
- Written governance brief for your committee
- Regulatory alignment check (PDPA, MMC, BNM)
- Yearly written board summary (included annually)
- Named advisory contact for your team
Quarterly cycle
- 1Usage data review — which task types, volumes, near-miss frequency
- 2Near-miss analysis and configuration adjustment recommendations
- 3Regulatory alignment check against current PDPA, MMC, BNM guidance
- 4Governance brief drafted and reviewed with your admin lead
- 5Brief delivered for your committee; board summary updated annually

Protocols that apply to every engagement
Confidentiality
All engagements are covered by formal confidentiality agreements. No client workflow or data is discussed with or shared with other clients.
PDPA alignment
Every engagement includes documented data field mapping. Personal data access is defined and limited before any AI system is configured.
Staff involvement
We work with your existing administrative staff rather than working around them. The people who review AI drafts are the same people who understand what a correct output looks like.
Written deliverables
Each engagement produces written documentation — briefs, inventories, summaries — that becomes a reference for your team and a record for your governance process.
Clinical boundary
AI assistance is scoped to administrative tasks only. Clinical decision-making, diagnosis, and treatment planning are outside scope in every engagement — without exception.
Iterative configuration
AI configurations are not set-and-forgotten. Near-miss logs and regulatory updates feed into ongoing adjustments to keep the system working accurately.
Transparent pricing for each engagement
All prices in Malaysian Ringgit (RM). No hidden fees or platform licences.
