Three engagements in practice

CASE STUDY · Private Specialist Clinic · Kuala Lumpur

Challenge

A ten-doctor specialist clinic in Chow Kit was spending approximately 2.5 hours per day preparing insurance claim summaries. The process involved two admin staff, and errors were common enough that one insurer had flagged the clinic's rejection rate.

What we did

The Admin Process Review identified claims preparation as the highest-value target. The Letters & Claims Pilot was configured specifically for that insurer's claim format. Staff were trained on the review step before anything was submitted.

Outcome

By week five of the pilot, the admin team was handling the same volume of claims in approximately 1.2 hours per day. The rejection rate from that insurer dropped over the following two months. The clinic enrolled in Quarterly Stewardship after the pilot concluded.

CASE STUDY · Hospital Administrative Department · Selangor

Challenge

A Selangor private hospital wanted to introduce AI assistance broadly but had no clear picture of which administrative tasks were suitable and which carried data risks they had not mapped. The board had requested a risk review before any deployment.

What we did

We ran the Admin Process Review and delivered a PDPA data inventory covering six administrative workflow categories. The written brief distinguished clearly between tasks where AI assistance was appropriate and two categories where the data involved warranted further governance review.

Outcome

The hospital used the brief and inventory to present to its board. The board approved a pilot for referral letter drafting only — the narrower of the two areas recommended — which was completed within the following quarter. The PDPA inventory is now part of the hospital's data register.

CASE STUDY · GP Group Practice · Ipoh

Challenge

A group of three GP clinics under shared ownership was using a general-purpose AI writing tool for referral letters. The tool was producing inaccurate outputs periodically, the staff had no structured review process, and there was no documentation of what data it was accessing.

What we did

We replaced the general tool with a configured pilot specifically for referral letters, introduced the review step and near-miss log, and produced the PDPA inventory the group had been missing. Staff training covered what a correct draft looks like and how to escalate corrections.

Outcome

Within the six-week pilot the near-miss rate dropped from once every twelve letters to once every forty. The practice owners now have documented evidence of the review process they can produce if requested. Quarterly Stewardship is in its second year across all three sites.
